Interior design & turnkey fit-out

Run a turnkey interiors job from the first quotation to the final payment

You price from a spreadsheet of materials, revise it four times, buy from twenty vendors and bill in stages. Optigestix keeps all of it on one record, so the quote the client approved is the project your site team builds, and the margin is a number you can see in week three.

The four-revision quotation

A client changes the flooring. Four files later, nobody agrees what was quoted.

This is the sequence that replaces it.

  1. The catalogue holds the rates

Every material, finish and fixture you price from, held once and searchable. Not a spreadsheet somebody duplicated in March.

  2. The quotation pulls from the catalogue

Line items come off the catalogue with margin control on each. Revisions land on the same record instead of becoming v2, v3 and v4 in a folder.

  3. The client approves a version, not a file

What the client said yes to is what the project carries. Your site team cannot build from a superseded revision because there isn't one to open.

  4. The invoice comes off the same record

Billing reads the approved scope. The gap where a job is built on v2 and invoiced on v4 simply has nowhere to open up.

Client-safe

Scope for the client. Rates for you.

One quotation, two prints. Most firms maintain these as two files by hand, and get caught when they diverge.

What the client gets

The scope, in full

Every room, material, finish and fixture they are approving, printed as a document they can sign. Quotation Without Price is a standard report, not a file someone rebuilt with the price column deleted.

What you keep

The same scope, with the rates

Line rates, margin per item and the total the project will be measured against. Change the quotation once and both prints change, because there is only ever one document underneath.

Virtual tour

Walk them through it before it exists.

A 360° walkthrough attached to the project record and shared with the proposal, sitting next to the specification for the space. No third-party app in the loop and nothing for the client to install.

For a turnkey job, this is the difference between a client imagining the space and a client deciding on it.

Procurement

Twenty vendors, one project.

The reconciliation an interiors firm currently does in a diary, done by the record instead.

01Purchase orders raised from the catalogue, against the project that needs the material

02Vendor bills booked to that project, not to a general pool sorted out at handover

03Payouts routed through an approval before money leaves

04Demand for one product totalled across every live quotation, before you negotiate

What a turnkey job actually earned

Revenue, cost and margin per project, read off live records rather than assembled at handover. A job drifting from 22% to 9% shows up while there is still a decision to make about it, and it tells you whether to take the next one at that rate.

Stage billing, GST, and getting paid

Invoices raised against the project and aged from the day they go out, so receivables sort by how long they have been sitting. The GST summary and the TDS report come out of the same records that raised them.

Questions

Asked by interiors firms.

How do I handle a client-approved change order mid-project?
The revision lives on the same quotation record rather than in a duplicated file. The approved version is the one the project carries, so the site team and the invoice are working from the same figures.
Can I keep separate rates for the same material across clients?
Yes. The catalogue holds the material and its specification; the rate and the margin are set on the quotation line, so the same finish can be priced differently for two clients without maintaining two catalogues.
Can I show the client a scope document without my margins?
Yes. Quotation Without Price is a standard report: the same quotation, printed as a client-safe scope document with pricing withheld. There is no second file to keep in step.
Does it handle stage-wise billing for turnkey contracts?
Invoices are raised against the project as often as the contract requires, and each one is aged from the day it goes out, so a stage billed in March is not sitting unnoticed in June.
Can I roll demand for one product up across all live quotations?
Yes. Quotation Grouped by Product totals demand for a material across every quotation, which is the report you want before you negotiate with the vendor supplying it.

Bring us a quotation you’re working on.

Thirty minutes. We build it in Optigestix while you watch, turn it into a project, raise the invoice and show you the margin.
