Where your money is, on every job you’re running

Costs go out daily and money comes in late. Optigestix ties every vendor bill, purchase order and payout to the project that caused it, ages every invoice from the day it is raised, and shows you the position across the firm on one screen.

The position

Working capital is the constraint. Everything below is ordered by how much of it each one frees.

01

Receivables, by how old they are

Every invoice carries its own age. The list sorts by how long the money has been outstanding, not by when somebody last thought about it, which is the difference between the 62-day invoice you can still save and the 120-day one you cannot.

02

Nothing leaves without an approval

Payouts route through an approval tied to the bill and the project that caused it. The control a proprietor needs on the days they are not the one signing the cheque.

03

What each job is actually costing

Expenses and vendor bills are coded to the project as they happen. Running cost against quoted value is a live figure, so a job going wrong announces itself in week three instead of at handover.

04

Ordered, received, billed, reconciled

Purchase orders from the catalogue, tracked to fulfilment, closed by the vendor bill on the same record. What you ordered, what arrived and what you were charged stop being three separate lists.

05

Site progress your office can see

Progress, issues and photographs logged from a phone on site, landing on the office view as they are entered. Fourth in importance rather than first, because this is the part of the market that is already well served.

06

GST and TDS, out of the same records

The GST summary consolidates the outward and inward position and the TDS report breaks deductions down by vendor and section. Both read the invoices and bills you already raised.

What Optigestix is not

If you are doing government infrastructure work, we are not the right tool and we would rather tell you now than in the eleventh minute of a demo.

  • No bill of quantities, rate analysis or RA billing against measurement books
  • No labour attendance, wages or muster roll
  • No plant and machinery utilisation
  • No tendering module

Optigestix is built for finishing, fit-out and small-works contracting, where the job is quoted from a materials list, bought from vendors and billed in stages.

Questions

Asked by contracting firms.

Can I track retention and stage payments?
Invoices are raised against the project as the contract requires and each is aged from the day it goes out, so a stage billed and part-received is visible as an outstanding balance rather than as a closed invoice.
How do I see what I owe each vendor across projects?
The vendor finance summary totals bills and payments by vendor across every project, so the position with one supplier is a single figure rather than something assembled from four project files.
Does it handle subcontractor bills?
Subcontractor invoices are booked as vendor bills against the project that incurred them, and settled through the same payout approval as any other supplier.
Can my site supervisor use it without seeing project financials?
Yes. Roles decide what each person opens. A supervisor can be given projects, tasks and site visits without being given revenue, cost or margin.
Does it replace Tally?
No. Optigestix runs the project and the money attached to it: quotations, costs, vendor bills, invoices and payments. Tally remains your statutory ledger. Most firms run both, and the GST summary and TDS report make the handover between them a report rather than a re-keying exercise.

Thirty minutes. We book its vendor bills, run the payout approval and show you the receivables position and the margin on one screen.
